Overview
Gemini consulting: Google's AI, set up for how your business works
Gemini is Google's family of AI models and the products built on them. Three matter for most businesses. Gemini in Workspace and the Gemini app help people draft, summarise and search in Gmail, Docs, Sheets, Meet and Drive, and come with Workspace Business and Enterprise plans. Gemini Enterprise, which Google sells per seat, lets employees chat with company data and run Google-made, custom or third-party agents across Workspace and other systems. And the Gemini Enterprise Agent Platform, which Google describes as the evolution of Vertex AI, is where developers build custom agents and applications on Google Cloud, billed by consumption.
Choosing between them is the first decision, and most organisations need more than one. A team that mainly wants help with email and documents may need nothing beyond Workspace. A business that wants answers drawn from SharePoint, Jira and its CRM as well as Drive needs Gemini Enterprise. A customer-facing assistant or an automated back-office process usually needs the developer platform.
Great Minds is a Sydney-based systems integrator, the integrator for the gaps between platforms. Our Gemini work is mostly about what Gemini can reach: the connectors, permissions and integrations that decide whether an answer is useful and whether it should have been given at all. If you are comparing assistants, our Claude and ChatGPT Enterprise page covers the alternatives.
Capabilities
What our Gemini work covers
We start with the work people want help with, then pick the Gemini product that fits it, rather than starting from the product. Every rollout includes the access review, because Gemini answers from whatever each user can already open.

How we deliver
From pilot to everyday use
Interviews with teams to find repetitive work Gemini can help with, ranked by value and risk, and matched to Workspace, Gemini Enterprise or a custom agent.
Drive and SharePoint sharing reviewed, connectors scoped to the data each team needs, and sensitive content restricted before Gemini can reach it.
A limited rollout with training on real tasks, regular feedback, and wrong or unhelpful answers traced back to their cause and fixed.
A wider rollout with usage reporting, an AI use policy and a process for adding agents, owned by your IT team after hand-over.
Australian considerations
Privacy, data location and governance for Gemini in Australia
Google says Workspace doesn't use customer data to train models without the customer's permission, that content isn't reviewed by people, and that Gemini only retrieves content the user can already access. For Gemini Enterprise, Google says prompts and outputs aren't used to train Google's models or models for other customers. That puts the weight on your own access settings: an over-shared folder becomes an answer. If an agent makes or supports decisions that significantly affect people, privacy policies must disclose that from 10 December 2026; see our guide to automated decisions and the Privacy Act.
Data location differs by product. Workspace data regions policies offer the United States, Europe or no preference, not Australia. Google says the Standard and Plus editions of Gemini Enterprise support data residency in a region of your choice, so we check which regions apply to your setup. For custom agents, Google lists Sydney among its generative AI locations, though the models offered there vary.
For APRA-regulated entities, an AI service that supports a critical operation falls within CPS 230's service provider requirements, and its access to data within CPS 234. We document data flows, access and logging for those assessments.
FAQ
Google Gemini questions
What's the difference between Gemini in Workspace, the Gemini app and Gemini Enterprise?
Gemini in Workspace works inside Gmail, Docs, Sheets, Meet and Drive, and the Gemini app is the chat assistant; Google includes the Gemini app at no extra cost for Workspace commercial customers. Gemini Enterprise is a separate per-seat product for searching and running agents across company data beyond Workspace.
Is our data used to train Google's models?
Google says Workspace doesn't use customer data to train models without permission, and that Gemini Enterprise prompts and outputs aren't used to train Google's models or other customers' models. We still review what each user can access, because Gemini answers from it.
Can Gemini Enterprise search SharePoint, Jira or Confluence?
Yes. Google lists connectors for Google Workspace, Microsoft OneDrive, Outlook, SharePoint and Entra ID, ServiceNow, Jira and Confluence among others. We scope each connector to the data the relevant teams need.
Which Gemini Enterprise edition do we need?
Google positions the Business edition for individuals, small businesses and teams of up to 300 with no IT setup, and the Standard and Plus editions for organisations with stricter security and compliance needs, with unlimited seats and higher quotas. A Frontline edition is sold as an add-on for frontline staff.
Can Gemini work with our other systems?
Yes. Gemini Enterprise connects to common business systems, custom agents on Google Cloud can call your APIs, and n8n workflows can use Gemini as one step in a process that touches Salesforce, Jira or your ERP.
Should we choose Gemini or another AI assistant?
It depends on where your work and data live. Gemini fits naturally if you run Google Workspace. If you run Microsoft 365, or want Claude or ChatGPT Enterprise for particular teams, we compare the options on your own use cases rather than in general.
People
Consultants who set up AI around your data
Our Gemini work is led by senior consultants who understand both the AI products and the systems they connect to, from Workspace and SharePoint to CRM and ERP.
They work with your IT, security and privacy teams, and with the people who will use Gemini every day.

Integration and AI foundations
We don't yet have a published Gemini case study. The work below shows the integration and data projects that AI rollouts depend on.
