Enterprise work management (EWM)

Enterprise work management puts intake, planning, delivery, knowledge and reporting for every team on connected platforms. We design and implement it, mainly on Atlassian.

Overview

What enterprise work management is, and how we implement it

Enterprise work management (EWM) is the set of platforms and practices an organisation uses to take in requests, plan and prioritise work, deliver it and report on progress across teams, not just within one. It covers project and task tracking, intake and approvals, capacity and resource planning, documentation, automation and portfolio reporting.

The problem EWM solves is fragmentation. Marketing runs one tool, IT another, operations a third, and leaders rebuild status reports by hand. Our guide to tool sprawl explains what that costs. An EWM design decides which work runs on which platform, how work moves between teams, and where leaders get a single view.

Great Minds designs and implements EWM mainly on Atlassian, where we're a Silver Solution Partner: Jira for planning and tracking work, Confluence for knowledge, Loom for video and Rovo for AI, sold together as Atlassian's Teamwork Collection. In May 2024 Atlassian merged Jira Work Management and Jira Software into a single product, Jira, so business and software teams now work in the same product.

For marketing and creative operations we also work with Adobe Workfront. And because we're a systems integrator, we connect work management to CRM, ERP, service management and DAM platforms, so work and data don't stop at the edge of one tool.

Capabilities

What we deliver

From deploying project management tools and enhancing resource planning to automating workflows and leveraging AI for analytics, we provide the expertise and tools you need to build an efficient, connected work environment.

These are the building blocks of most EWM programs. We configure them to how your teams actually work, document every workflow and automation rule, and train the people who'll run them.

01Project managementJira projects, workflows and views (list, board, timeline and calendar) set up per team, with shared fields and statuses where work crosses teams, and templates for repeatable work such as campaigns, launches or onboarding.
02Resource management & allocationVisibility of who is working on what across teams, using plans and dashboards in Jira, and Atlassian's Strategy Collection (Focus, Talent and Jira Align) where you need portfolio and workforce planning at enterprise scale.
03Workflow automationIntake forms, approvals, assignment, due dates and hand-offs automated with Jira automation rules, plus integrations that pass work to and from CRM and service desks. Rovo adds AI for search, summaries and drafting.
04Advanced analytics & reportingDashboards and portfolio reports built on consistent fields and statuses, so leaders can see progress, blockers and capacity without asking each team for an update.

Partnerships

The platforms we implement and connect for enterprise work management

Atlassian is our main EWM platform. Great Minds is an Atlassian Silver Solution Partner with Cloud Migration Delivery and Service Management Sales accreditations, and we invoice Atlassian licences in Australian dollars.

We also connect work management to the platforms around it, including Adobe Workfront, Salesforce, Microsoft and service management tools.

How we deliver

An EWM program, from current state to adoption

01Map how work flows today

We interview the teams involved and map how work arrives, gets approved, moves between teams and gets reported. We list the tools in use and what each one is for, so overlaps are obvious.

02Design the target model

Which work runs on which platform, the shared fields, statuses and workflows that let work cross teams, permissions, integrations and the reports leaders need. We agree the design before configuring anything.

03Build, migrate and prove it

Configuration, automation and integrations, with proofs of concept for the riskiest parts. In our Jira Work Management and Confluence project for a global manufacturer, three proof-of-concept builds were reviewed against agreed success criteria before go-live. AI agents do much of the repetitive build and migration work; our consultants own the design and sign off every change.

04Roll out and support

Team-by-team rollout with role-based training, then Atlassian managed services and support or a handover to your platform team.

Australian considerations

What Australian organisations need to check

Atlassian Cloud data residency lets you keep product data for Jira, Confluence, Jira Service Management, Jira Product Discovery and Loom in the Australia (Sydney) region on Standard, Premium and Enterprise plans. Atlassian Cloud has also been assessed at IRAP PROTECTED for Jira, Confluence and Jira Service Management. Both matter if work items hold personal information covered by the Privacy Act, or if you're an APRA-regulated entity working to CPS 230 and CPS 234.

If you're on Atlassian Data Center, plan the move now: Data Center stopped being sold to new customers on 30 March 2026 and reaches end of life on 28 March 2029. Our guide to moving work management to the cloud covers what to check.

FAQ

Enterprise work management questions

What is the difference between enterprise work management and project management?

Project management tools track work within a project or team. Enterprise work management connects intake, planning, delivery and reporting across many teams and platforms, so work can move between teams and leaders see one picture.

Is Jira Work Management still available?

Not as a separate product. In May 2024 Atlassian merged Jira Work Management and Jira Software into a single product called Jira, and Jira Work Management subscriptions can no longer be bought. Business projects keep features such as list and calendar views. Our guide to optimising your workflow in Jira covers how business teams use it.

Can one platform serve marketing, IT and operations?

Often, yes. Jira and Confluence are used by business teams as well as software and IT teams, and Jira Service Management handles requests for IT, HR and facilities. Where a team needs a specialist tool, such as Adobe Workfront for creative operations, we integrate it rather than force everything onto one platform.

How does enterprise work management relate to an enterprise PMO?

An enterprise PMO sets portfolio governance: how work is prioritised, funded and reported. Enterprise work management is the platform layer that makes that governance practical, by giving every team consistent data the ePMO can report on. Our ePMO guide covers the operating model.

Where does AI fit in work management?

Atlassian's Rovo works across Jira and Confluence to search, summarise and draft, and Rovo agents can carry out tasks. AI is only as useful as the data and permissions behind it, so we set up consistent fields, tidy knowledge spaces and access controls first.

People

The people behind the work

Our team of work management experts, solution architects, and strategic advisors brings deep expertise in designing, implementing, and optimising Enterprise Work Management systems.

Our work management consultants and solution architects run Atlassian implementations and migrations for business and technology teams. Senior consultants own the design and the decisions; AI agents handle repetitive configuration and migration tasks.

In one published example, we consolidated a manufacturer's go-to-market processes from several disconnected applications onto Jira Work Management, Jira Service Management and Confluence, bringing more than 50 teams and 400 tasks onto one platform.
